Calendar admins and ownership

A calendar has one owner and any number of admins. The owner is the account the calendar belongs to; admins help run it.


What admins can do

Admins have the owner's trust. They can:

  • Edit the calendar and add events to it
  • Review submissions from other organizers
  • See the People tab and write newsletters
  • Invite the calendar's people to its events — see Inviting guests

Only the owner can add or remove admins, transfer the calendar, and delete it. Newsletters an admin sends count against the owner's email sending limits, and membership payments go to the owner's Stripe account.


Adding an admin

On the calendar's Settings tab, under Admins, select Add and enter the person's Cloomba username. They are notified right away. The person needs a Cloomba account.


Admins and the calendar's events

When an event is put on a calendar as its home, the calendar's owner and admins become admins of that event too: they can edit it and manage its guests, and their names appear under Organized by. See Adding co-hosts and managers for what an event admin can do.

This access comes with the calendar and ends with it — when the person stops being an admin of the calendar, when the event moves off the calendar, or when the calendar is deleted. Access someone was given by hand on the event itself stays.

Someone who becomes an admin later does not get access to events that were already on the calendar. An event's organizer can also remove any of them from that one event.


Removing an admin

The owner removes an admin from the Admins list. If the admin organizes upcoming events on the calendar, the dialog offers Take their upcoming events off this calendar. Leave it unticked and those events stay on the calendar; tick it and they leave. Past events always stay.

Either way, the person loses access to the calendar and to its other events, and is notified. Guests of events taken off the calendar stop counting on the People tab.


Leaving a calendar

An admin can leave from the Danger zone at the bottom of the Settings tab: select Leave calendar. If you organize upcoming events on the calendar, you can tick Move my upcoming events to my personal calendar; otherwise they stay. The owner is notified.

The owner cannot leave. Transfer the calendar to one of its admins first.


Transferring a calendar

The owner can hand the calendar to one of its admins: in the Danger zone, select Transfer calendar and pick the new owner. To hand it to someone who is not an admin yet, add them as an admin first.

The admin gets a notification and an email, and accepts or declines on their Invitations page. They have 7 days; after that the request expires. Until they accept, nothing changes, and you can cancel the request.

When they accept:

  • They become the owner, and you stay on as an admin. You can leave afterwards.
  • The calendar's address, events, followers, and members stay as they are.
  • Newsletters count against the new owner's sending limits from then on.

A transfer moves the calendar, not its events — every event keeps its organizer. To hand over an event, see Transferring event ownership.

A transfer is not possible:

  • While any of the calendar's membership tiers has a price. Membership payments go to the owner's Stripe account, which cannot move with the calendar.
  • When the admin already owns as many calendars as their plan allows. See Pricing & Fees.
  • When one of you has blocked the other.

If the admin is removed or leaves while a request is waiting, the request is cancelled.


Deleting a calendar

The owner deletes the calendar from the Danger zone with Delete. Its events are kept — they only stop being listed on it — and the admins lose the access to those events that came with the calendar. A waiting transfer request is cancelled.

A calendar cannot be deleted while any of its membership tiers has a price.
