Adding your note to guest emails

Updated 25 Sep 2026

Cloomba emails your guests on your behalf, each in the guest's own language. You can add a personal note to four of these emails — parking, what to bring, a thank-you — and it appears inside the email, just as you wrote it.

Where to find it

Open your event's management page, go to the Advanced tab, and scroll to Email notes.

Which emails take a note

  • Approved registration — sent when you approve a pending request
  • Declined registration — sent when you decline a pending request
  • Registration confirmed — sent when a guest's place is confirmed
  • Post-event feedback — sent after the event

Each email has its own note. Write it in Your note and save. Leave a note empty and that email goes out without one.

What a note can contain

Plain text, up to 2,000 characters. Links you paste become clickable.

Sending a test

Send test email sends the email with your current note to your own address, so you can see it the way your guests will.

Cancelling an event

The cancel dialog has its own Message to guests field, added to the cancellation email — see Cancelling an event. For when reminders go out, see Email reminders & alerts.
