Is Cloomba suitable for a conference?

For 50 to 500 people, yes: the program, the tickets and the door are all built, and a free template puts the whole thing on your own domain. Past that size the software stops being the hard part, so here is exactly what we cover and what we don't.

The software is the top of the iceberg

A large conference is venue contracts, catering headcounts, sponsor deals and invoices, visa letters, hotel blocks, and a committee reading talk submissions for weeks. None of that happens on a website, and we don't pretend otherwise: there is no call for papers here, no review workflow, no invoicing. What Cloomba runs is the half your attendees touch — the program, the ticket, the emails that follow and the check-in at the door.

A 200-person conference with three tracks fits without strain. A 2,000-person one with a program committee will use Cloomba for tickets and check-in and keep its own tools for the rest, which is a perfectly good way to use it.

What it costs

A free conference costs nothing, whatever the headcount. On paid tickets it's a flat 5% plus card processing, taken from the payout — no listing fee, nothing fixed per ticket, no plan to buy. If you'd rather handle the money yourselves, take bank transfers instead: you write the payment instructions, you approve each registration, and we never touch a cent.

Three ways to have a website

The same event underneath, so start with the first one and move up next year.

    Description, agenda, speakers, sponsors, registration and the photo wall, each visitor reading it in their own language. For a first edition this is usually enough.

We adapt the platform to your conference

What's built, whichever site you use

An agenda with rooms

Sessions with a time and a room, over one day or three, parallel tracks lining up by the clock. The dinner and the after-party can be events of their own, under the same calendar.

Speakers, with their slides

Photo, bio, links — and after the talk the deck sits on the session page, where people go looking for it.

Tiers, windows and codes

Early bird, student, regular — each with its own quantity and its own sales window, closing itself when it's gone. Coupons for sponsors and groups, and hidden tiers that open with an access code.

A door that scans

Everyone who registers gets a QR ticket and an Apple or Google wallet pass. Your helpers scan from their own phones, and the count moves as the hall fills.

The questions you have to ask

Company, role, dietary needs, agreement to the code of conduct — asked at registration, and every answer is a column in the guest export your badge printer and your caterer can read.
